Dear Parents,
Good news! A few days ago, the provincial government and the Public Health Directorate announced that day camps would be authorized to hold their activities for the summer 2020 season. As is the case for all other areas of life, different adjustments will need to be made to work organization and the day camp’s offer of services. On May 28, it was confirmed that the Town of Saint-Lazare will be able to hold its day camp.
Some time before the official announcement, a guide to re-launching camps in the context of COVID-19 had been prepared by the Association des camps du Québec (ACQ), in close collaboration with the Association du loisir municipal (AQLM) and the Réseau des unités régionales loisirs et sport du Québec (URLS). The measures presented within the guide are consistent with those applied in schools and early childhood centres (CPEs and daycares) and are in keeping with the recommendations put forth by the Public Health Directorate.
This guide enables day camp directors to be better equipped to assess the challenges (financial, access to facilities, etc.) related to the opening of day camps. This day camp relaunch guide was published based on the four key guidelines provided by the Public Health Directorate (see image below).
We have therefore rolled up our sleeves and taken the time to seriously assess the impact that the measures outlined in the guide would have on our day camp. Let’s be honest, the day camp we will be offering your children this summer will be very different from what they are accustomed to. The organization, the ratios, the activities... everything has been reviewed in order to be done according to the rules and to ensure the safety of your children and our employees. Rest assured, however, that we will make every effort to ensure that this summer is as enjoyable as possible for your children. Note that, despite all of the measures that will be put into place, we cannot guarantee an environment that is free of COVID-19, contamination or contagion.

EW REGISTRATION
As our management must strictly monitor groups to ensure they remain unchanged from week to week, parents must complete the following form https://forms.gle/f9fTsnLKNVs8hZbh6 in order to validate the availability of the weeks they wish to register their child for. No availability verification will be done by phone or email.
Children will be with the same group both at the day camp and at the daycare. From the time they arrive in the morning to the time they leave in the evening, children will remain in the same groups and with the same counsellor.
Only full-time (Monday to Friday) day camp registration will be authorized.
Only full-time (Monday to Friday) daycare services for the entire registration period will be authorized.
Parents will have the opportunity to register their child for day camp only (9:00 a.m. to 4:00 p.m.) or for day camp and daycare (6:45 a.m. to 6:00 p.m.), full-time only (Monday to Friday). You can choose to register your child full-time, either with or without daycare services. However, once you have selected one of the two options, this will remain unchanged for the duration of your child’s attendance at the day camp.
Groups will be created based on whether a child attends daycare or not

Once we receive the request, a member of our team will check availability. Once availability is validated, a member of our team will go ahead with registration. Registration is done on a first-come, first-served basis.

EXISTING REGISTRATION
Parents who have already registered for the day camp will be contacted in order to validate if their registration remains as is, or if they wish to adjust their registration as a result of the new approach (with or without full-time daycare, for the duration of the child’s attendance at the daycare services).
PRE-EXISTING MEDICAL CONDITION
As there are COVID risks for those with certain medical conditions, any child with a pre-existing medical condition will be required to obtain a note from their physician confirming that they can attend day camp.
Individuals with a higher fatality risk following complications are those:
• with a weakened immune system;
• with chronic illnesses such as diabetes or with cardiac, pulmonary or renal diseases

Make sure you have the child's citizen card on hand, and that it is valid. If your child's card needs to be renewed, please consult the citizen card web link for how to renew it.

Residents of Les Cèdres must first, even if they did so last year, complete the following form:

Cheques can be dropped at the community center (1301 rue du Bois), in the locked wooden mailbox located on the right side of the main door of the building (entrance that overlooks on rue du Bois). Cheques must be left in a sealed envelope identified with the child's name. Cheques must be made to: Ville de Saint-Lazare. You must give full payment.
To calculate your installments, you must take the total of your registration invoice and divide the amount indicated into 1 single installment or in 2 equal amounts. Each amount is equivalent to a date (day of registration, and June 14).
The parent will have 7 days from the date of registration to send their cheques. There will be no postponement of cashing cheques if the time between payments is reduced due to the delay in sending payments.

Daycare

Once the day camp has started, the parent will not be able to modify their registration in order to remove or add the daycare service. Only full-time (Monday to Friday) daycare services for the entire registration period will be authorized. You can choose to register your child full-time, either with or without daycare services. However, once you have selected one of the two options, this will remain unchanged for the duration of your child’s attendance at the day camp.
A late payment fee of $5 per 10 minutes after 6:00 p.m., per child, will be charged if the schedule is not met.

After June 14th, any new registration, modification to a registration or week addition must be made no later than Wednesday of the previous week at 4.30 p.m. There is no guarantee of availability.

No modification can be made by the customer himself in his file.
*** Since the pre-registration rate is exceptionally extended for the whole summer, the parent will be able to register their child throughout the summer, subject to availability.
Refund policy
a) Parents who have already registered will have until June 14 to modify their registration, without administration fees. After that date, fees will apply.
b) No refunds will be made (at the request of the parent) after the beginning of the camp except for medical or a physical incapacity to continue the camp. No administration fees will be charged in the event of a cancellation for medical reasons related to COVID-19.
c) A request for refund target a full week that the registered child is absent. No refund can be done on daily basis.
d) No refund will be made (at the request of the parent) after June 14, except for: death of a member of the immediate family, loss of employment of one of the parents, if there’s a change in the custody of the person registered for one of his parents or due to a mandatory participation to a course required by an educational institution. The refund request must be for a full week during which the registered person is absent from the activity. In other words, no refund is made on a daily basis. Administration fees (15% for a maximum of $25) are applicable.
